The Royal Geelong Yacht Club is one of the premier Yacht Clubs in Australia and was named Australian Sailing Club of the Year for 2019/20. Positioned in a prime location on the Geelong waterfront, RGYC is also currently undergoing substantial redevelopment due to an injection of Government, Council and Club funding.

The Club is home to the annual Festival of Sails, the iconic biennial Wooden Boat Festival and a variety of National and World Championships.

About the Role:

  • The Major Events Operations Coordinator will join the RGYC events team on a contract basis from August 2022 through March 2023, with possibility for extension.
  • Use your creative flair to enhance the guest and participant experience 
  • Coordinate operational requirements to support the seamless and successful delivery of our major events. These job tasks will take place in consultation with the Major Events Manager and include, but are not limited to the below:
    • site planning
    • collating infrastructure requirements
    • developing production schedules for site operations
    • securing event permits
    • development of risk plans
    • equipment procurement
    • staff coordination
    • operational cost control
    • coordinate site holder operations
    • coordinate event entertainment plans
    • ensure the event complies with appropriate legislation
    • track event key performance areas and identify items to work on for future events

Skills Criteria:

  • Demonstrated knowledge and experience regarding event management 
  • Demonstrated experience in managing staff  
  • Demonstrated experience working with external contractors to deliver required outcomes 
  • Ability to converse with all customer levels in a polite and systematic manner 
  • Self-motivated, ideas driven, team player/leader 
  • Experience in dealing with changing interpersonal situations 
  • A diligent attention to detail 
  • High level written and oral communication skills 
  • Excellent people, time and event management skills 
  • IT Competency  – Microsoft office, particularly word, excel and power point and publishing software 
  • Ability to work independently and under strict deadlines
  • Ability to formulate and implement efficient and effective event operational plans / timetables / schedules
  • Ability to seek quotes and analyse information to seek the best outcome for the Club
  • Understanding of WHS and risk considerations and requirements in the delivery of major events and festivals
